From the top menu, go to Rates -> Policies
You can configure the following policies:
- Rate Information
- Payment Policy
- Cancellation policy
Note: The Rate Information, the payment policy, the cancellation policy are always sent to the Reservation Notification email delivered to the client when a new reservation is made.
Terms and Conditions: You can select any other information (i.e. Check-in, Check-out policy) that you want to be sent to the Reservation Notification email delivered to the client when a new reservation is made. To do it, you should go to Rates -> Policies -> Terms & Conditions and select the information (created in Management -> Templates) to be included in the Terms and Conditions.
Rate Information examples
Example 1 (Room Only)
Rates are in euro (€) and include all applicable taxes and service charges.
Example 2 (Breakfast included)
Rates are in euro (€) and include breakfast and all applicable taxes and service charges.
Payment Policy examples
Example 1 (Free Cancellation – No Deposit)
Hotel requires credit card details in order to guarantee and pre authorise your reservation. No charge will be applied to your credit card regarding the reservation.
The hotel reserves the right to pre-authorize credit cards any moment prior to your arrival.
Cancellation is free of charge provided you adhere to the notification period stated in the hotel cancellation policy. Non-show is charged as stated in the hotel cancellation policy.
Example 2 (Free Cancellation – Deposit required)
Hotel requires your credit card details to process your booking. Our hotel takes the privacy of your personal data very seriously. They are only used to process your booking. The hotel reserves the right to pre-authorize credit cards any moment prior to your arrival.
Prepayment: 30% of the total amount of the reservation is charged to your credit card at the time of booking. This amount is kept as deposit and is refunded in case of early cancellation.
Example 3 (Non Refundable)
This rate is available only on a non-refundable basis.
Full prepayment is required for this special rate. Upon booking entire stay amount will be charged to your credit card (full prepayment). The reservation is non changeable and, in case of cancellation, modification or non-show the prepayment is non refundable.
Cancellation Policy examples
Example 1 (Free Cancellation – No Deposit)
If you cancel this reservation up to 14 days (until: [until]) before date of arrival no fees or penalties will be charged.
If canceled or modified later, a cancelation penalty of 30% of the total reservation amount will be charged.
In case of no-show, 100% of the total price of the reservation will be charged.
Example 2 (Last Minute)
This is a last minute booking.
30% of the total amount of the reservation is charged to your credit card at the time of booking and is not refundable.
In case of no-show 100% of of total price of the reservation will be charged and is non-refundable.
Last minute bookings can only be cancelled or modified by contacting the hotel.
Example 3 (Non Refundable Cancellation Policy)
No cancellation allowed for this rate.
Upon booking entire stay amount will be charged to your credit card (full prepayment). The reservation is non changeable and, in case of cancellation or non-show, the prepayment is non refundable.
